Dr. Roth asked the entire BOD to introduce themselves to the new BOD members. He also went over the conduct of meeting procedures and also stated that there was nothing to report on National updates.

Snickers Scholarship Program proposal

Proposed that TS start the Tennessee Soccer/Snickers, Recreational-Select Scholarship Program. We will have 15, $200 scholarships and 20, $100 scholarships available. Motion: Bernhardt

Golf Tournament

TS Golf Tournament was a big success raising $4873 for the TOPSoccer program. Kudos to the staff for a great event. Reviewed the financials from the event.

 

Considering holding two Tournaments a year.

AGM Recap

Brief overview of the financials of the 2001 AGM was given. Discussed different areas that can be improved to make the event a bigger success. Also discussed the idea of re-naming the Micro Mania Indoor Tournament the State Futsal Tournament and playing to a championship. Will also consider two levels of play for Competitive and Recreational.

AGM Matrix

AGM Matrix submitted for review and feedback. This Matrix will simplify the process of preparing for the AGM. BOD was in agreement with the Matrix layout.

New Software Program Capabilities

Discussed the new program that TS has installed (Access) for our database. Showed samples to the BOD of new rosters that are being generated and the capabilities.

 

Access program is now in place replacing Fox Pro.

 

Social Security Numbers

BOD Tasked Sanchez with finding out if there would be any issues of concern from the insurance carrier if we eliminate Social Security numbers from our registration and fabricate other identification numbers.

 

Will call insurance carrier and resolve by June 15th. Once adopted will do mailing to all Association Presidents, Registrars and BOD

NYSA Issues

NYSA has been writing non-sufficient checks to referees and other business contacts. They have only registered 2 recreational players this seasonal year through TS. Strongly suggest that NYSA be put on bad standing. Committee has been put in place to meet with NYSA and try to solve problems.

Calendar dates for the SCS and ODP were distributed. Dr. Roth had concerns that the boys calendar only had months listed and not specific dates. Ajit will list specific dates and re-submit. All Calendars should be submitted by March 1st for the next seasonal year.

Nancy McDonough presented an overview of what is happening with Regionals. Everything is falling into place. There is still a need for volunteers and involvement from the TS BOD.

Program Calendars

We need to be more pro active and avoid conflicts in scheduling. To achieve this all program Calendars must be submitted to the State Office by March 1st.

Recreational Organizational Structure

3 structures within the youth support innovation structure. Risk Management (Rick Moore, Chair), TOPSoccer (Jose Fernandez, Chair) and Soccer in the Streets (Melinda Morrisey, Pilot Program).

Youth Recreational Tournament Policy

Presented a draft for the Recreational Tournament Policy. Will create an invitational and State Tournament policy (2 Policies). BOD discussed changes needed.

Each District can individually or work together to host a Tide American Cup. The District will set the fee needed to break even. If District loses money the State will reimburse.

Ordered Straw Hats for each State Rep, President and Dignitary. Each hat will have TS Logo and Appropriate Identification.

State Cup Format

Format accepted as written with exemption of no participation patches and eliminating the verbiage that teams will play four games during State Finals. Consolation teams will play 3 games.

State Finals Girls: Div. 2/3 3rd weekend in May. (5/18-19)

 

District Tournaments must be completed one (1) week prior to Regional Round. Format will be mailed to the membership.

Presented the process that the State office will utilize to make bi-annual contact with the local association. The BOD was in agreement with the operating procedure presented.

Gave a brief description and showed pictures of the building TS is trying to acquire. Negotiating on final price. Bank has already approved a loan.
